Part-Time Payroll/Benefits Administrator - Phoenixville, PA

Sheffield Furniture & Interiors is seeking a bright, hardworking individual with exceptional attention to detail to fill our part-time Payroll/Benefits Administrator position. The selected candidate will be responsible for processing all aspects of a bi-weekly, multi-state payroll for our employees and administering health and welfare benefits. This person must possess a sense of urgency to get things done and be self motivated.

Typical Duties:

  • Process manual time cards, worksheets, and progress reports to insure accurate and timely running of payroll.
  • Ensure accuracy of payroll records by correctly adding new hires and terminating employees, maintaining payroll database with additional employee updates in status change, tax withholdings, benefits deductions, time off accruals, etc.
  • Enter all bi-weekly payroll data into Excel allocations workbook; use those allocations to do accounting GL payroll entries.
  • Run bi-weekly 401k contribution report and submit for debit and employee account processing.
  • Reconcile health, dental, and disability insurance payments/deductions to monthly statements.
  • Prepare and remit local service tax reports and payment for all PA companies each quarter.
  • Download federal, state, and local tax reports from ADP on a quarterly and yearly basis. Archive copies for document retention and verify payment, accuracy and filing of ADP’s total tax service team.
  • Prepare and submit yearly payroll data as required for yearly worker’s comp audits.
  • Annually shop health, dental and disability insurance with the assistance of our benefits broker. Review options and make recommendations to management for benefit options.
  • Modify/set-up online employee open enrollment website (HRConnection) with new benefit offerings for open enrollment in December each year.
  • Do open enrollment for benefits for all employees through online HRConnection system. Using employee updates, changes, drops and adds, make appropriate changes to their benefits with the help of our broker or online portals. Update employee contributions in payroll accordingly.
  • Maintain monthly ACA (Affordable Care Act) Excel spreadsheet on all eligible employees. Use monthly information to prepare annual 1095-c and 1094-c filings.
  • Verify accuracy and initiate release with ADP of yearly w-2 forms.
  • Assist employees with questions and respond to third parties regarding payroll and benefits topics.
  • Process and administer all leave-of-absence requests and disability paperwork: medical, personal, disability and FMLA (if applicable).

Required Qualifications/Abilities:

  • Associate or Bachelor’s Degree in Business Administration, Finance or HR preferred
  • Minimum of 3 years of payroll processing experience for a multi-state employer with multiple locations. An additional 3 years required in lieu of college degree.
  • Knowledge of state and federal wage and tax laws and overtime requirements.
  • Proficiency with MS Word, Excel, Outlook, and online payroll processing system (ADP preferred)
  • Proven customer service/people skills while maintaining confidentiality and exercising extreme discretion
  • Excellent problem solving/judgment skills, and high level of attention to detail and accuracy
  • Strong organizational skills, and the ability to work under pressure
  • Ability to handle and prioritize multiple tasks and meet all deadlines
  • Payroll related benefits administration which includes transmission of 401k contributions, census reports, health insurance billing reconciliation, etc.
  • Ability to effectively communicate information to employees and management
  • Flexible personal style to work with diverse personalities; Professional, yet personable demeanor
  • Worker’s comp payroll reporting experience preferred
